Administration Assistant – PLAN B GROUP

The Plan B Group – consisting of Plan B Services, Plan B Comms and Plan B Auditing – based in Mount Waverley, is the largest provider of electrical engineering design and project management services to the Land Development Industry in Victoria.

We have an exciting opportunity for a forward-thinking and enthusiastic administrator to become part of our highly motivated Project Management team.  Due to rapid growth, this is an excellent opening for someone who is mature, self-driven and energetic who wants to learn from and work with the best in their industry.

Working with a dedicated and supportive team you will be given all the training required to succeed in this role and will develop a wide range of skills in administration, client liaison and project management support.

You will bring your high attention to detail, the ability to adapt and think outside the square, and the ability to work autonomously as well as part of a team of other administrators and a wider project management department.  Customer service or administration experience is preferred however, more importantly, we are seeking someone who has a can-do, positive, and friendly attitude, who is willing to learn and has an exceptionally strong work ethic.

Responsibilities include but are not limited to:

  • Coordinating and scheduling new projects;
  • Managing our tender process;
  • Coordinating submissions and authority documentation;
  • Updating our company database;
  • Communicating with all project stakeholders, including clients, utility personal, and service providers;
  • Administration support to the project management department;
  • Document control and general ad-hoc administrative duties.
  • Embrace, uphold and contribute to our positive values and behaviours at all times.

To be successful in this role, you must be able to demonstrate all-around MS Office skills, high communication skills, and have the ability to take ownership of your role.

Executive Assistant – PLAN B GROUP

The Plan B Group – consisting of Plan B Services, Plan B Comms and Plan B Auditing – based in Mount Waverley, is the largest provider of electrical engineering design and project management services to the Land Development Industry in Victoria.

This is a newly established role that will allow you to challenge yourself on a daily basis as you use your initiative to solve problems and support the Plan B Group executives.  This is an excellent opening for someone who is mature, self-driven and energetic who wants a stable working environment.

If you are a highly experienced, career-focused professional, with demonstrated success as an Executive Assistant at a similar level, this could be the role for you.

You will bring your keen eye for detail, the ability to think outside the square.

The Executive Assistant will be responsible for, but not limited to the following:

  • Embrace, uphold and contribute to our positive values and behaviours at all times.
  • Assisting & supporting the Group Managing Director & General Managers.
  • Preparation & scheduling of meetings.
  • Attending meetings & accurately recording minutes from meetings.
  • Researching and conducting data to prepare documents for review and presentation.
  • Registering & arranging external corporate events for executives & clients.
  • Scheduling & making travel arrangements for executives & clients.
  • Managing all social media content & communication for the Plan B Group.
  • Communicating with all staff, clients & visitors in a professional manner.
  • Preparing reports, memos, letters, and other documents.
  • Filing and retrieving corporate records, documents, and reports.
  • Provide general administrative support.

The successful candidate will possess the following skills:

  • Proven experience as an Executive Assistant for a minimum of 5 years
  • In-depth knowledge & understanding of the entire MS Office suite.
  • In-depth knowledge of all social media platforms & applications.
  • Ability to organise a daily workload by priorities.
  • Outstanding organisational, multi-tasking and time management skills.
  • Must be able to meet deadlines in a fast-paced quickly changing environment.
  • A proactive approach to problem-solving with strong decision-making skills.
  • Discretion & confidentiality.
  • Confident, friendly, easy-going but professional demeanour.
  • Professional level of verbal and written communications skills.
  • Exceptional interpersonal skills.
